Finding a venue that looks beautiful is only part of the decision. Before you pay a deposit or sign an agreement, you need to know whether the space actually works for your guest count, budget, vendors, event schedule, technology, and overall plans. Event-planning resources consistently recommend evaluating practical factors such as capacity, accessibility, technology, parking, vendor rules, and setup requirements before committing to a venue. (Cvent, 2024; Eventbrite, n.d.).

If you're comparing event venues in Columbus, Ohio, these seven questions can help you uncover details that may not be obvious from photos or a quick tour.

1. How Many Guests Can the Venue Comfortably Accommodate?

Do not ask only for the maximum occupancy. Ask how many guests the venue can comfortably accommodate with the layout your event requires.

Your guest count is only one piece of the space equation. You may also need room for:

  • Round tables and chairs

  • Dance floor

  • DJ or entertainment area

  • Stage

  • Buffet or catering stations

  • Bar

  • Cake table

  • Photo booth

  • Registration area

  • Vendor tables

  • Gift table

  • Lounge area

Eventbrite recommends evaluating whether a venue has enough space for the event's specific activities and equipment in addition to the expected attendance. (Eventbrite, n.d.). A banquet for 200 guests, for example, may require much more usable floor space than a presentation for the same number of people. When comparing venues, ask to see possible layouts for an event similar to yours.

At Deb's Celebration and Events Center, the approximately 30,000-square-foot space can accommodate events of up to 250 guests, giving clients flexibility to create different configurations based on the type of gathering.

2. What Is Included in the Rental Price?

A starting rental price does not always tell you what the event will actually cost. Ask exactly what the venue provides and what will need to be rented or purchased separately.

Questions might include:

  • Are tables included or available?

  • Are chairs available?

  • Is A/V available?

  • Is kitchen access included?

  • Are linens available?

  • Is setup included?

  • Is cleanup included?

  • Is there a photo booth?

  • Is event planning available?

  • Are decorating services available?

  • Are there extra charges for weekends or holidays?

Cvent recommends evaluating venue amenities and services because the resources available on-site can affect how many additional vendors and rentals an event requires. (Cvent, 2024). This is where comparing total value becomes more useful than comparing only base rental prices.

At Deb's, venue rental can be supplemented with resources such as round tables, 6-foot tables, chairs, A/V, décor, planning support, florals, a 360 photo booth, setup, and cleanup depending on the needs of the event.

3. Can I Bring My Own Vendors?

This question can have a major impact on both your event plans and your budget.

Some venues require clients to use specific caterers, bartenders, decorators, or other vendors. Others permit outside professionals. Eventbrite specifically recommends clarifying outside-supplier policies before signing because restrictions can affect both production choices and costs. (Eventbrite, 2017).

Ask:

  • Can I bring my own caterer?

  • Can I use my own DJ?

  • Can I bring my own photographer?

  • Can I hire my own decorator?

  • Are there vendor fees?

  • Are there insurance requirements?

  • Is there a preferred vendor list?

  • Are any vendors mandatory?

A venue that offers both flexibility and recommendations can be helpful.

Deb's allows outside vendors and also provides access to a preferred vendor list, allowing clients to choose professionals they already know, ask for recommendations, or combine the two approaches.

4. What Are the Setup and Cleanup Rules?

One of the easiest ways to underestimate venue costs is to think only about the hours when guests are present. Your event may require significant time before and after the celebration.

Ask:

  • What time can vendors enter?

  • How early can decorating begin?

  • Who sets up tables and chairs?

  • Is setup time part of the rental period?

  • Who removes décor afterward?

  • Who cleans the room?

  • Is cleanup included?

  • Is there a separate cleaning fee?

  • How much time is allowed for teardown?

  • What happens if the event runs late?

Cvent recommends asking specifically about load-in and load-out access because vendor setup and teardown can require substantial time and coordination. (Cvent, 2024).

Eventbrite likewise recommends confirming venue access for setup before signing a contract. (Eventbrite, 2017).

Deb's offers setup and cleanup services, allowing clients to decide how much of that work they want to handle themselves.

5. Is There Enough Parking and Is the Venue Accessible?

Guests experience your venue before they ever walk through the doors. If parking is difficult or the building is hard to navigate, that can affect the experience before the event even begins.

Ask:

  • Is parking available on-site?

  • Is parking complimentary?

  • Is there enough parking for the expected attendance?

  • How far is the parking area from the entrance?

  • Are accessible parking spaces available?

  • Are entrances and common areas accessible?

  • Are restrooms accessible?

  • Can guests using mobility devices move comfortably through the space?

Cvent identifies parking, transportation, and accessibility as important factors in evaluating a venue, including whether parking is close enough to accommodate guests with mobility needs. (Cvent, 2024).

Deb's offers ample parking, which can simplify arrival logistics for larger gatherings.

For accessibility needs specific to your guests, it is still important to discuss those requirements directly with any venue before booking.

6. What Technology and A/V Are Available?

A/V may matter even if you are not planning a corporate conference. Weddings, birthdays, graduations, awards programs, celebrations of life, and other events may use:

  • Microphones

  • Music

  • Videos

  • Slideshows

  • Presentations

  • Announcements

  • Speakers

  • Screens

  • Performances

Eventbrite recommends confirming whether the venue has the technology and equipment necessary for the event, while Cvent recommends evaluating A/V capabilities before booking. (Eventbrite, n.d.; Cvent, 2024). Ask whether A/V is already available, what equipment is included, and whether outside technology vendors can be brought in when necessary.

Deb's has A/V capabilities available for events requiring presentation or entertainment support.

7. What Will the Final Cost Actually Be?

This may be the most important question on the list.

Do not ask only:

"How much does the venue cost?"

Ask:

"What charges should I expect from beginning to end?"

Potential costs may include:

  • Base rental

  • Required deposit

  • Additional hours

  • Weekend rates

  • Holiday rates

  • Cleaning fee

  • Damage fee or deposit

  • Setup

  • Cleanup

  • Décor

  • A/V

  • Security

  • Staffing

  • Optional services

  • Overtime

Eventbrite recommends reviewing contracts carefully for fees, cancellation terms, outside supplier policies, and setup access before signing. (Eventbrite, 2017).

Getting the complete pricing picture before booking makes it much easier to build an event budget that reflects reality.

One More Question: Can You Picture Your Event There?

Once the practical questions are answered, there is still one thing a website cannot completely tell you. How does the space feel in person?

A venue tour allows you to see:

  • The actual room size

  • Guest flow

  • Parking

  • Table placement

  • Décor possibilities

  • Entrances and exits

  • Vendor access

  • A/V locations

  • Kitchen access

  • Overall atmosphere

You may walk into a venue you liked online and realize it does not fit your plans.

Or you may walk into a flexible space and immediately begin imagining where everything could go. That is why seeing the venue in person is often one of the most useful steps before making the final decision.

Choosing an Event Venue in Columbus, Ohio

The right event venue should make your plans easier, not create more problems to solve.

Before committing, make sure you understand:

Capacity and layout

What the rental includes

Vendor policies

Setup and cleanup

Parking and accessibility

A/V capabilities

The complete cost

Those seven questions will tell you far more than photographs alone.

If you are currently comparing event venues in Columbus, Deb's Celebration and Events Center offers approximately 30,000 square feet of flexible event space for up to 250 guests, along with optional planning, décor, floral, A/V, setup, cleanup, and vendor resources.

If those benefits align with what you're planning, seeing the space in person can help you determine whether it is the right fit.
